Where it is genuinely paying off
The wins for small businesses are almost always unglamorous: drafting and summarising, first-line customer questions, tidying data, and turning notes into documents.
- Writing first drafts of quotes, proposals and job adverts, then editing them yourself
- Summarising long email threads or meeting notes into clear next actions
- Answering repeat customer questions out of hours through a website chat assistant
- Cleaning up messy spreadsheets, categorising expenses and spotting duplicates
- Transcribing site visits or sales calls so nothing is lost between the van and the office
Where it still costs more than it returns
Anything requiring judgement, accountability or relationships. AI-written content published without editing damages credibility and, increasingly, search rankings. Automated outbound messaging at volume harms your brand and your deliverability. And any process where a wrong answer has a legal or financial consequence — pricing, advice, compliance — needs a human signing it off.
How to start without wasting money
Pick one task that happens every week, takes over an hour, and does not need judgement. Run it manually with an AI assistant for a month before buying dedicated software. Most small businesses discover they need better processes more than they need another subscription.
What to ask an AI supplier
Ask where your data is stored, whether it is used for training, what happens when the model gets it wrong, and who is accountable for the output. If a supplier cannot answer those four questions clearly, keep looking.
